The AGM was supposed to be held at the Black Dog last Tuesday but due to the adverse weather conditions this was impossible. An impromptu AGM was held at the home of our President, Jeff Hibbert, with 5 members present. It was felt that some decisions had to be taken on dates and venues. Jeff could not arrange a new date for a full AGM meeting at short notice this week and he will be away for all of February. He thought it would be prudent to hold an emergency meeting. If it is felt that another AGM is required with more members present to ratify the decisions taken, then Jeff will be happy to arrange one in mid to late March.
Present
Jeff Hibbert, Theo Dibbits, Dave Thompson, John Merrick, Laurie Meyrick
Apologies
Peter Brookes, Sid Jenkinson, Neil Brown, Jim Ogden, Martin Charnock, Ron Clarke.
Due to the adverse weather conditions the following members tried to reach the Black Dog but were unable to do so and rang or emailed myself on the night with their apologies.
Kev Butcher, Dave Wallwork, Peter Proctor and Len Hall.
Minutes of 2017 AGM and Matters Arising
- There were no matters arising and the minutes were accepted as a true record of the 2018 AGM.
Dates for Spring and Autumn Walks
After some discussion and checking of diaries the following dates were agreed which are in line with the dates in 2018:-
Spring Walk Saturday 11th May 2019
Autumn Walk Saturday 5th October 2019
Location of Spring and Autumn Walks
Suggestions and discussions regarding the walks took place and the following walks and areas were suggested.
- Greenburn Round
- Buttermere Trio
- Wild Boar Fell
- Helvelyn
- Ullswater
- South West lakes
No votes were taken but during the general discussion and with the experience of the difficulty of lasts years high level walks the following was agreed.
The Spring Walk would be: South West lakes Leaders Dave Thompson – Jeff Hibbert
The Autumn Walk would be: Wild Boar Fell Leaders Dave Thompson – Jeff Hibbert
More details of these walks, namely starting points and times, distances, routes etc. will be forthcoming in the near future after discussions between the high level walkers themselves.
The corresponding low level walks need to be planned and organised. Ken Lord has previously organised these but as he was not at the meeting this will need to be confirmed if he wishes to continue.
Please remember that all these walks are open to the ladies, who would be most welcome.
Transport and Overnight Arrangements
A short discussion took place on the existing arrangements at the Crooklands and staying at the hotel on Saturday evenings and it was agreed that this would remain the same for this year.
Treasurer’s Report
Neil had previously forwarded his financial report to me and a copy of which is attached to the minutes.
There is £100 lodged with HF which should be added to the final sum.
Subscriptions were discussed and previous to the meeting I had discussed the level of subscriptions with Neil. As our finances are in a relatively heathy position it is proposed to retain the subscriptions at £10 per couple and these are now due and should be paid to Neil.
Ladies Weekend
This year the event will be held at HF Dolgellau from Friday 26th April to 31th April, when at present 29 members will be attending although places have been booked for 31 members. Unfortunately 2 members have had to cancel due to illness. At the moment we are one short to gain the full discount of two places and the President is actively looking for someone to stand in but to no avail at present.
Having previously discussed this with Neil he agreed that the club funds should cover the shortfall if another member or friend could not be recruited. This was also agreed with members present at the meeting
The president stated that he would like walk leaders to be nominated prior to the ladies weekend, as last year, to avoid any confusion and he proposed that there should be three grades of walks to enable members of all abilities to participate fully. This was agreed but will need walk leaders to fill in the gaps below.
Easy Medium Long
Walk 1 Jeff Hibbert
Walk 2 Dave Thompson
It was suggested that the walk leaders should liaise with each other to decide what walks they were leading and on what day.
Ladies Weekend 2020
Monk Coniston has already been provisionally booked for the 1st May 2020 for 3 nights and this is to be confirmed with HF.
Suggestions for the Ladies Weekend in 2021 were put forward but any further suggestions would be greatly appreciated. The proposed HF houses were:-
Malham
Alnmouth
Dovedale
Dates and Leaders for Local Walks
Sunday 10th March 2019 Theo Dibbits – Dave Thompson
Sunday 30th June 2018 Peter Brookes
Sunday 18th August 2019 John Merrick
Sunday 27th October Jeff Hibbert
Details concerning these will be available nearer the dates quoted.
Long Distance Walk
This year’s the long distance walk will be the Borders Abbey Way, which is a total of 68 miles. It is a circular walk passing through the towns of Jedburgh, Hawick, Selkirk, Melrose and Kelso from 2nd June to 7th June. Peter has everything in order and will circulate the information to those involved.
Christmas Lunch
The 2018 Christmas lunch was held at Dunscar Golf Club but there was some concern raised by members that at £25 per head the meal was a bit expensive and not up to the usual standard we have experienced in the past at Dunscar.
Dave Thompson suggested Deane Golf Club as an alternative venue and he was to investigate further. Dave did report later that he had made a provisional booking at Deane for the Sunday 15th December 2019
Dave was asked to liaise with Kevan Butcher before a final decision could be reached.
Thanks to Officers
The President expressed his thanks for the support he had received from Neil (Treasurer), Sid (for his work on the website), Ken (for organising low level walks) and the organisers of high level walks and local walks, Dave, Theo, Peter B and John.
The President stated that he had already held the position for three years and was willing to hand over the reins if anybody wanted to take them over. The President was not unduly surprised when his remarks were met by a profound silence and lack of any volunteers stepping forward.
The above paragraph is basically the same as last year’s minutes.
There being no other business the President closed the meeting and thanked the few for attending.
The meeting closed at 9-25pm after an 8.00pm late start
Date of the next AGM to be agreed.
Jeff Hibbert
